Event Relay, LLC is a California-based business operated by its founder and provides an SMS communication platform for events. This Privacy Policy explains how we collect, use, store, and disclose information when event hosts and guests interact with the Event Relay, LLC service (the “Services”).
By using our Services, you agree to the practices described in this Privacy Policy.
2. Information We Collect
A. Information Provided by Event Hosts
When an event host creates an account, we collect:
- Name
- Email address
- Login credentials (passwords are securely hashed)
- Event details and uploaded content
- Guest phone numbers (if provided for messaging)
We collect information in the following ways:
- Information provided directly by event hosts
- Information collected from guests interacting with the Services
- Information collected automatically through system usage
Hosts may upload guest phone numbers for event-related communications. Hosts represent that they have the necessary permissions to provide guest contact information and to enable event-related communications.
Our Services involve two primary user types: event hosts (who create and manage events) and guests (who interact with event communications).
B. Information Collected from Guests
When guests interact with an event number powered by our Services, we collect:
- Phone number
- SMS message content
- Date and time of messages
- Opt-in and opt-out signals (such as STOP or HELP requests)
We use this information solely to provide event-related communications on behalf of the event host.
C. Log and Technical Information
We may collect technical information when users access our Services, including:
- IP address
- Device type
- Browser type
- Access timestamps
- Basic usage data
This information is used for security, fraud prevention, and service improvement.
D. Cookies and Analytics
We may use cookies and similar technologies to:
- Analyze website traffic
- Improve performance
- Support service development
- Measure usage trends

We use analytics and infrastructure providers (such as hosting, performance monitoring, and usage analytics tools) to understand how the Service is used and to improve performance.
3. How We Use Information

- Generate automated responses based on event-host-provided details and guest inquiries
- Send event-related SMS communications
- Process payments
- Prevent abuse or misuse

- Send service-related communications, including account notifications, event lifecycle updates, billing alerts, data request verification, receipts, and support responses
We do not use guest phone numbers or message content for our own marketing purposes.
After the retention period described below, personally identifiable information is deleted. We may retain anonymized and aggregated data derived from event activity, such as total message volume, usage patterns, question categories, and time-of-day trends, for analytics, service improvement, and business insights. This aggregated data does not identify individual hosts or guests.
Event Relay may automatically stop responding to messages for events that have passed their scheduled date.
Guest contact information is not used for advertising, marketing campaigns, or promotional outreach by Event Relay, LLC.
4. SMS Communications & Consent
Our Services provide SMS-based communication for events.
Guests may receive text messages in the following ways:
- By initiating a message to an event phone number powered by our Services.
- By being included in a guest list uploaded by an event host for event-related notifications.
Consent may be provided either by a guest voluntarily initiating a message to an event phone number or by providing their phone number to an event host with the expectation of receiving event-related communications.
Event hosts are solely responsible for confirming they have obtained appropriate consent before providing guest phone numbers.
Messages sent through the Service are strictly limited to event-related communications such as schedule updates, reminders, logistics, and guest assistance.
Mobile opt-in data and consent information will not be shared, sold, or disclosed for marketing or promotional purposes, except as necessary to provide the Services and as described in this Privacy Policy.
Message frequency varies based on guest interaction and event activity. Message and data rates may apply.
Recipients may opt out at any time by replying STOP. For assistance, reply HELP.
We maintain suppression records for opted-out numbers as required to prevent further messaging.
5. Automated response processing
We use third-party service providers to generate automated responses based on event information provided by hosts and guest inquiries.
Guest messages and event content are processed solely to provide the Services.
We do not use guest communications to train publicly available language models.
Our third-party service providers are contractually required to process information solely for the purpose of providing services to Event Relay, LLC and to implement reasonable privacy and security safeguards. We do not authorize third-party service providers to use guest communications for their own marketing purposes or for training publicly available models.
6. Payments
Payments are processed securely through Stripe. We do not store full credit card numbers. Payment information is handled directly by Stripe in accordance with its own privacy and security policies.
7. Data Storage and Security
Our Services are hosted using trusted infrastructure providers, including cloud hosting and database providers.
Data is encrypted in transit using SSL/TLS encryption. Our database provider implements encryption at rest.
We implement reasonable administrative and technical safeguards to protect personal information. However, no system can guarantee absolute security.
8. Data Retention
Event Lifecycle and Retention Trigger
Events in the Service follow a system lifecycle, including Active and Archived states.
An event is considered concluded when it transitions to an Archived state (as defined in the Terms of Service).
Events may be transitioned to an Archived state based on factors such as:
- The event date having passed
- Message activity levels
- System usage thresholds
- Operational or compliance considerations
Retention Period
We retain personally identifiable event and communication data:
- While an event is in an Active state, and
- For 30 days after the event transitions to an Archived state
Once an event is Archived:
- Messaging is disabled
- Associated phone numbers may be released
Deletion of Personal Data
After the 30-day post-archival period:
- Guest phone numbers are permanently deleted
- Message bodies associated with identifiable guests are permanently deleted
- Event-specific personally identifiable information is permanently deleted
Backup systems may retain copies of data for a limited additional period consistent with security and operational requirements.
Host Account Data
Host account information and limited event metadata (such as event name, date, and purchased tier) may remain associated with the host account unless the account is deleted.
Archived events are retained in a limited form for reference and do not include guest communication data after the retention period.
Anonymized and Aggregated Data
Following deletion of personally identifiable data, we may retain anonymized and aggregated data for legitimate business purposes, including:
- Total message count per event
- Tier usage metrics
- General question categories
- Time-of-day usage patterns
- System performance analytics
This data does not identify individuals and cannot reasonably be used to reconstruct personal information.
Event Relay, LLC does not attempt to re-identify anonymized or aggregated data.
Opt-Out and Suppression Records
Opt-out and suppression records may be retained as required to comply with applicable messaging laws and to prevent future unwanted communications.
Early Deletion Requests
Hosts may request earlier deletion of event data by contacting support.
Application After Termination
These retention practices apply even if an account is suspended or terminated, unless earlier deletion is required by law.
9. How We Share Information
We do not sell personal information.
We may share information with trusted service providers who assist in operating our Services, including providers for:
- Cloud hosting
- Database management
- SMS delivery
- Email delivery
- Payment processing
- Automated response generation
These providers process data solely on our behalf and are contractually restricted from using it for other purposes.
We may also disclose information:
- If required by law or legal process
- To protect rights, safety, or security
- In connection with a business transfer or acquisition
10. Our Role
Event Relay, LLC acts as a service provider to event hosts. Guest communication data is processed on behalf of event hosts to facilitate event-related messaging.
Event hosts are responsible for responding to guest privacy requests where applicable, although Event Relay, LLC may assist in facilitating such requests as required by law.
11. Children's Privacy
Our Services are not directed to children under 13. We do not knowingly collect personal information from children under 13.
If you believe a child under 13 has provided information to Event Relay, LLC, please contact us so we can delete it.
12. California Privacy Rights
If you are a California resident, you have the right to:
- Request access to personal information we have collected about you
- Request deletion of personal information (subject to certain exceptions)
- Request correction of inaccurate information
- Not be discriminated against for exercising your privacy rights
We do not sell or share personal information as defined under California law.

Requests may also be submitted through our data request form available on our website.
We will take reasonable steps to verify your identity before processing your request and will respond within the time period required by applicable law.
Because Event Relay, LLC processes information on behalf of event hosts, certain requests may need to be directed to the event host who provided your information.
13. Changes to This Policy
Event Relay, LLC may update this Privacy Policy from time to time. Updates will be reflected by revising the “Last Updated” date. Continued use of the Services after changes become effective constitutes acceptance of the updated policy.
